Job summary

The DCMS Analytical Community consists of around 110 analysts, who are distributed across a Central Analysis Team and a Sector Analysis Team which is embedded into policy directorates.

This role sits in the Central Analysis Team, in a small Analysis Business & Community Support team which provides corporate support to the analytical community. Our team enables the high quality analysis necessary for the Department to deliver for the public by:

  • Managing and simplifying corporate processes to deliver analysis;
  • Ensuring the Director and Deputy Director are available for all who need their input;
  • Providing high quality management information to support decision making;
  • Managing finances effectively to deliver maximum value for money;
  • Supporting a cohesive, engaged and thriving culture within the analytical community.

As well as the Executive Assistant job-share partner, the Analysis Business & Community Support team also consists of a Business Manager and Head of Analytical Capability & Community with whom you’ll work closely.

Job description

This role is a job-share with the team’s established Executive Assistant. You would be expected to work up to 0.6 FTE across a maximum of three days each week. Specific hours and days will be agreed with the successful candidate.

The Executive Assistant supports the Director of Analysis and Deputy Director for the Central Analysis Team by ensuring they are fully equipped to carry out their day to day responsibilities. You will support all aspects of their diary management to make sure their days run smoothly with all the material they need to make decisions. This also involves coordinating agendas and briefing material, as well as supporting travel logistics by booking transport, desks and meeting rooms.

You will play a key part in giving the Director and Deputy Director the time and space to lead the analytical function. You will need to understand the context of their work to help prioritise asks so they are available to those who need their expertise. You will liaise frequently with senior stakeholders and their offices both within and outside DCMS to arrange meetings and clearances. The role offers a fantastic opportunity to interact with senior leadership and learn about how decisions are made at the top of the organisation.

Working with the other members of the Analysis Business & Community Support team, you will be integral in shaping the workings and culture of the analytical community.

Person specification

The ideal candidate would have the following key skills and experience, please note that desirable skills will only be used in the event of tied candidates:

Essential requirements:

  • Excellent organisational skills and responsivity, with the ability to understand and prioritise competing requirements
  • Proficiency with office software, in particular inbox and calendar management
  • Ability to quickly build relationships with diverse stakeholders at all levels
  • Clear and effective communicator, both verbally and in writing
  • Strong attention to detail

Desirable Skills:

  • Experience working as an executive assistant or diary manager to a senior leader

You don’t need analytical skills to work in our team, but an interest in government analysis is welcome!
