As First Steps Together continues to grow, we are looking for an organised, professional and proactive Admissions and Administration Assistant to join our Head Office team.

This is a varied role combining admissions and placements coordination with wider business administration, making you an important point of contact for families, Local Authorities, professionals and colleagues across First Steps Together.

You’ll help make sure referrals and admissions are managed efficiently and professionally, while also providing high-quality administrative support that helps our Head Office and wider services run smoothly.

What you’ll be doing

A key part of your role will be supporting the admissions and placements process across our education provisions, from the initial referral through to a young person joining one of our schools.

You’ll manage incoming placement enquiries and referrals, maintain accurate admissions and waiting-list records, coordinate visits and assessments, and work closely with school leaders to understand placement availability and suitability.

You’ll communicate regularly with Local Authority SEND teams, commissioners, parents/carers and other professionals, providing a responsive and professional service and making sure everyone involved has the information they need.

You’ll help coordinate start dates and transition arrangements, prepare admissions documentation and correspondence, maintain accurate pupil and admissions records and support the production of admissions and occupancy information.

Alongside admissions, you’ll provide general administrative support across Head Office under the direction of our Executive and Business Support Lead.

That could include preparing documents and correspondence, maintaining records, taking minutes at meetings, supporting general office processes and providing reception cover when required.

You’ll also support practical office administration, including ordering supplies, receiving deliveries and completing goods receipt processes, helping make sure our central services continue to operate effectively.

Accuracy and confidentiality will be important throughout the role. You’ll maintain organised, up-to-date records, handle sensitive information appropriately and help ensure our admissions and administrative processes remain compliant and audit ready.

Bring your difference

We’re looking for someone who is highly organised, approachable and confident communicating with different people.

You’ll have strong administrative skills and the ability to manage several priorities at once, keeping track of actions and deadlines while maintaining a high level of accuracy.

You’ll be comfortable communicating by telephone and email and building positive relationships with families, professionals and colleagues. You’ll also be confident using Microsoft Office and maintaining electronic records and databases.

Experience working within administration, admissions, education or a similar coordination role would be particularly valuable. Experience working with Local Authorities or within a SEND or education environment would also be an advantage.

You don’t need to know everything about admissions from day one. What matters is that you are organised, professional, willing to learn and able to provide an excellent service.

We’re looking for someone who notices the details, follows things through and is willing to get involved whether that means progressing a referral, arranging a school visit, preparing meeting minutes or helping reception during a busy period.

Above all, you’ll understand that behind every referral is a child or young person and their family, and that a well-organised, responsive admissions process can make an important difference to their experience.
